Refunds & withdrawals

Eligibility

Refunds are available when you withdraw in writing within the timeframes below, or when we cancel a course and cannot offer a suitable transfer. Requests should be emailed to info@desktop-birchfield.click with your full name, course title, and intake date.

Cooling-off and early withdrawal

If you cancel within 14 days of paying a deposit and before any teaching materials unique to your place have been issued, we refund the deposit in full. After materials are issued or after the 14-day period, the deposit becomes non-refundable unless we cancel the course.

Short courses

Withdrawals notified more than 21 days before the start date receive a full tuition refund minus the deposit. Between 21 and 8 days, 50% of tuition (excluding deposit) may be refunded. Inside 7 days, tuition is non-refundable, though you may nominate a substitute learner subject to our approval.

Diploma year

Before week 1 teaching begins, the same short-course schedule for deposits and tuition percentages applies to the first invoice. After teaching starts, refunds for unused later invoices are considered only if you withdraw for documented medical reasons or relocation outside reasonable commuting distance; work already delivered is charged on a pro-rata weekly basis.

Non-refundable items

• Deposits after the cooling-off window or after personalised materials are issued
• External awarding-body examination fees already paid onward
• PPE or kits that have been opened or fitted to you
• Missed sessions where teaching continued as scheduled (no-shows)

Cancellation by Birchfield

If we cancel a course for low enrolment, tutor illness, or facility issues, you may transfer to the next equivalent intake or receive a full refund of sums paid for the cancelled course, including the deposit.

Rescheduling

One free transfer to a later intake of the same course is allowed if requested at least 14 days before the original start, subject to capacity. Further transfers may incur an administration charge of £75.

Work already started and purchased materials

Once bay sessions or field days for your cohort have begun, fees for completed weeks are retained. Unopened shared materials remain school property; personal kits listed on your enrolment letter follow the non-refundable rules above once issued.

Process and timing

Approved refunds are processed within 14 working days to the original payment method where possible. Bank transfers may be used when card refunds are unavailable; we never send cash.
